Xactimate Estimating

Xactimate Estimating Services for Contractors & Restoration Companies

Most insurance carriers write property claims in Xactimate. When your repair estimate is written in the same system, with the same price list and line items, it's far easier for the adjuster to compare it with theirs, and far harder to dismiss.

We write Xactimate estimates for restoration contractors, roofers, and other trades working insurance claims. Send your photos, measurements, and scope notes, and you get a line-item estimate and ESX file ready to submit.

How an Xactimate Estimate Is Built

If you're new to Xactimate, here's what's inside an estimate:

Price list

Xactimate pricing is published by region and updated regularly. The estimate uses the price list for the property's location and the month of the loss or estimate.

Line items

Each task is a coded line item: remove and replace drywall, apply sealer, detach and reset an appliance. Line items carry material, labor, and equipment components. Choosing the right items, in the right quantities, is most of the skill.

Sketch and measurements

Rooms are sketched so that walls, ceilings, and floors calculate automatically. Accurate sketches mean accurate quantities.

Overhead and profit (O&P)

General contractor overhead and profit is applied when the job requires coordination of multiple trades. Whether O&P applies is a frequent point of discussion with carriers.

RCV, ACV, and depreciation

Replacement cost value (RCV) is the cost to repair or replace. Actual cash value (ACV) is RCV minus depreciation. Policies differ in how depreciation is applied and recovered, so we write the estimate at replacement cost and let the policy terms govern the rest.

Supplements and Reconciling With the Adjuster's Estimate

The first carrier estimate is often written before all damage is known. Supplements cover what was missed or found later:

  • Hidden damage found during demolition
  • Line items left out: tear-out, haul-off, protection, cleanup
  • Quantity differences from inaccurate measurements
  • Code-required upgrades, where the policy covers them
  • Items that require matching materials for a uniform appearance

We compare your scope against the adjuster's estimate line by line, identify missing or underpriced items, and write a supplement supported by photos and documentation.

What to Send Us

  • Scope notes describing the work needed, room by room
  • Moisture readings and a moisture map for water losses
  • The carrier's estimate, if you have one
  • Claim details: property address, date of loss, and type of loss

Send Your Files

Upload the drawings through our quote form, share a Google Drive or plan-room link, or email them. Large sets travel best as a shared folder.

What This Service Is, and Isn't

We write repair estimates. We don't negotiate claims on a policyholder's behalf, interpret insurance policies, or provide legal advice. In many states, only licensed public adjusters or attorneys can represent policyholders in a claim. If you need representation, we can still provide the estimate your representative works from.

FAQ

Frequently Asked Questions

What is Xactimate?

Xactimate is property claims estimating software made by Verisk. It's widely used by insurance carriers, adjusters, and restoration contractors to write repair estimates.

Why should my estimate be written in Xactimate?

When the carrier uses Xactimate, an estimate in the same system, using the same price list, is easier to compare line by line and less likely to be dismissed for formatting reasons.

Can you write an estimate without visiting the property?

Yes, with good photos, measurements, and scope notes. The quality of the estimate depends on the quality of the information.

What's an ESX file?

It's Xactimate's native file format. Carriers and adjusters can open it directly in their own software.

Can you help if the adjuster's estimate is too low?

We can compare your scope with the adjuster's estimate and write a documented supplement for missing or underpriced items. We don't negotiate the claim for you.

How long does an Xactimate estimate take?

Your quote includes a confirmed delivery date. Most estimates are delivered in 24 to 48 hours, and single-trade takeoffs often within 24 hours.
