MS Project Scheduling

MS Project Scheduling Services for Construction

Microsoft Project is on more construction laptops than any other scheduling tool. It's familiar, it opens on almost any office machine, and plenty of owners and lenders ask for schedules in it. It's also easy to build a Project schedule that looks fine until something changes, and then dates refuse to move, or move in ways nobody expected.

We build, fix, and maintain construction schedules in MS Project with proper logic, realistic durations, and progress tracking that holds up month after month.

When MS Project Is the Right Tool

MS Project works well for:

  • Residential, multifamily, and light commercial construction
  • Private projects where the owner hasn't specified Primavera P6
  • Tenant improvements and renovations
  • Developer and owner master schedules covering design, permitting, and construction
  • Internal planning by contractors who don't need P6's enterprise features

Primavera P6 is usually the better fit when the contract specifies it, when the schedule has thousands of activities, or when formal delay analysis is likely. For those projects, see our CPM scheduling service. CPM scheduling →

What We Build in MS Project

Baseline Construction Schedules

A logic-driven schedule from mobilization to closeout: submittals and procurement, permits and inspections, work by area and trade, and milestones the owner cares about. Durations come from the scope and realistic crew sizes.

Progress Updates

Actual starts and finishes, remaining durations, and percent complete updated each period, compared against the saved baseline so variances are visible.

Look-Ahead Schedules

Short-interval views filtered from the master schedule for weekly site meetings.

Resource-Loaded Schedules

Crews or key resources assigned to tasks, so you can see when the job needs more people than you have.

Pre-Construction and Development Schedules

For owners and developers: design phases, approvals, financing milestones, bidding, and construction in one timeline.

Fixing Schedules That Don't Behave

Many MS Project schedules we receive have the same problems. They're easy to make and hard to spot:

Manually scheduled tasks

Dates are typed in instead of calculated, so nothing moves when predecessors slip.

Hard date constraints

"Must Start On" and "Start No Earlier Than" pin tasks in place and hide real delays.

Links on summary tasks

Logic tied to summary rows instead of the actual work behaves unpredictably.

Missing predecessors and successors

Tasks with open ends don't show their real impact on the finish date.

Effort-driven settings

Adding a resource unexpectedly shortens a task's duration.

No saved baseline

Without one, there's nothing to measure progress against.

We review existing schedules, correct the logic, and return a file that calculates properly, with notes on what was changed.

Converting Between MS Project and Primavera P6

Sometimes a project starts in one tool and needs to move to the other: an owner requires P6, or a subcontractor needs to work in Project. Conversions can lose calendars, constraints, relationship types, or activity codes. We check the converted schedule against the original (dates, critical path, and logic) so the new file says the same thing as the old one.

Reports for Owners and Lenders

A schedule is also a communication tool. We can set up:

  • Clean Gantt charts showing milestones and the critical path
  • Baseline versus current comparisons
  • Summary views for owner meetings
  • Monthly progress reports suitable for lender draw reviews Budget estimating →

FAQ

Frequently Asked Questions

Is MS Project good for construction scheduling?

Yes, for many projects: especially residential, light commercial, and private work. It handles logic, critical path, baselines, and resource loading. Large or spec-driven projects often require Primavera P6 instead.

Can you fix my existing MS Project schedule?

Yes. We'll review the logic and settings, correct problems like manual tasks and hard constraints, and explain what we changed.

Can you convert my P6 schedule to MS Project?

Yes, and we'll check the converted schedule against the original.

Do I need to own MS Project?

You'll need a way to open .mpp files to edit them. If you only need to view the schedule, PDFs work.

How often should a construction schedule be updated?

Commonly monthly, and more often on fast-moving jobs. The contract may set a frequency.
